Job Summary

This individual is responsible for the assignment and support of work flow and training of the Intake department to ensure timely processing of new referrals (medical orders). This individual also performs and supports quality reviews and resolution of all front-end tasks. Senior Intake Specialist works closely with Intake Supervisor and Manager of Intake.

Essential Functions
  • Act as the point of contact for issues of moderate complexity relative to the Intake process.
  • Assign workload to Intake staff to effectively provide coverage for all teams as necessary (orders, tasks, faxes)
  • Perform all regular Intake Specialist duties as dictated by the needs of the business and ensure timely completion
  • Ensure all medical orders get billed in a timely manner to maximize revenue opportunities, increase cash flow, and close segment/month on time
  • Monitor HIPAA compliance within department
  • Ensure timely processing of tickets within all queues assigned to the Intake department
  • Perform regular quality checks of orders worked by Intake Specialist to support dispensing accuracy and department standard for quality.
  • Provide coaching to Intake Specialists as needed, assist in tracking and reporting in these areas
  • Organize and deliver regular team huddles
  • Participate in staff 1:1 meetings
  • Respond to escalations from sales team in a timely manner
  • Complete requests submitted to the New Intake Review Queue, Catchall Queue and Perceived Error queue in a timely manner, ensure feedback is delivered individually to staff to improve quality and performance
  • Identify areas of opportunity to improve processes along with aiding in the implementation of those changes
  • Responsible for creating and documenting SOP's for department use

Required/Preferred Education and Experience
  • High School Diploma or equivalent required required and
  • Associate's Degree in nursing, business, or other related field preferred or
  • Bachelor's Degree in nursing, business, or other related field preferred
  • 3-5 years insurance verification experience required

Knowledge, Skills and Abilities
  • Superior communication; both verbal and written
  • Strong customer service skills
  • Proficiency in navigating several software systems concurrently
  • Aptitude to handle multiple tasks simultaneously under strict deadlines
  • Attention to detail
  • Superior organizational and time management skills
  • Ability to communicate policy information in a clear and detailed manner
  • Proficiency with MS Office Suite
